What is Day-Of Coordination with Celebrations by Amy Bacon?

Allow us to explain what a day-of coordinator actually does for you!

One of the services that Celebrations by Amy Bacon offers is our Day-of Coordinating Package. It’s a common misconception that couples believe our service will only include the actual day. Day-of Coordinators do a lot more than show up on the day of your wedding and we would like to give you a little more information on what Day-of Coordination involves.

Brides who choose a Day-of Package are often women who need little guidance along the way. If you are planning to handle most of your wedding details yourself, then a Day-of Coordinating Package is perfect for you!

Our Day-Of Wedding Package means the bride is responsible for doing the majority of her own planning. Please remember, in order for your planner to do her job – and do it well - she will need to know every detail you have planned. No detail is too small! After all, it’s ALL in the details, right?

So, if you decide to have a cigar or espresso bar at the last minute, your planner needs to know. If you want to include a wine ceremony with your vows or want to surprise your family with a special soloist singing at the ceremony, the planner needs to know that, too! A good planner will be asking MANY questions about your day; perhaps even asking you to fill out some questionnaires, as sometimes those tiny types of details can fall through the cracks. We believe that communication is imperative.

A reputable planner starts coordinating the final details of your wedding at least a month out. We have time-lines to create, vendors to contact,  coordination of deliveries, confirming of final payments and of course, going over every little detail with a fine toothed comb to ensure nothing has been over looked. We can, and have jumped in when hired two weeks out from the wedding! However, the more time you allow us to be involved, the better.

Speaking of time-lines your planner should also be creating a detailed itinerary for you, your wedding party, and all your vendors; and this too takes time. Scheduling all the vendors, letting everyone know where to be and at what time, those important contact names, cell numbers and emergency backup contacts … these things can’t be gathered on the “Day-Of.” It all takes work, organizational skills, experience and a lot of time!

Trust us, you don’t want a planner who says they’re just going to show up on your wedding day and run everything; making sure everyone is doing what they are supposed to be doing, when they are supposed to be doing it. By then it will be too late and much more difficult to fix any problems.  Your planner is supposed to ensure that everyone is completing your vision. This cannot be accomplished if we don’t know what that vision is! Another point to remember: we spend at least 40+ hours to ‘simply’ “Day-Of” coordinate, so while you may want to lean towards the lowest price planner you can find, a ridiculously low price quote would tell me this planner is not going to do all she should be doing. This applies to all wedding vendors; we believe you get what you pay for. You do not want to take a risk on this special day.

You can ask ANY of our past clients and they will all agree that if you are getting married you NEED a wedding planner; or should we say you need us!

What to do if a wedding party member gets sick ...

Congratulations! Your wedding week is finally here…but some of your bridal party members are feeling a little under the weather! Stay calm; they very well could recover in time, but if they don’t, here are some ways to keep their sickness from making your wedding a mess:

-encourage members to limit their alcohol and increase their water intake leading up to the wedding
-make sure everyone knows to eat a filling but healthy breakfast the day of any and all events
-have an emergency kit with medicine items (Tylenol, Ny/Dayquil, mucus relief, cough suppressant, Tums, Imodium, etc.) on hand, including gallon sized Ziploc bags for accidents
-bring a small battery-powered fan to keep feverish members cool
-if the flower girl or ring bearer is feeling ill and their parents are not in the wedding party, invite them to stay with their children to keep an eye over them until they need to walk down the aisle
-if the Flower Girl or Ring Bearer's parents are a part of the wedding party, find a guest or family member who would be willing to look over them, or hire a sitting service to come attend to the sick children

Sweet bride encouraging her flower girl and baby sister who wasn't feeling well.

To help you stay relaxed and to keep unneeded stress off of your shoulders, consider hiring a day-of coordinator like Celebrations by Amy Bacon. We bring emergency kits to every wedding chock-full of medications that someone may need but didn’t bring with them, and electric fans to battle fevers and the Arizona heat. Additionally, we have working relationships with top-notch sitting services who can expertly tend to kids’ and their upset tummies. In addition to that, the week leading up to the wedding we become the primary contact for any of your wedding day needs, including making sure your bridal party knows where to be and when. We’ll check in with everyone and see if they’re ready for the wedding. If they feel a little under the weather, we’ll do everything we can to get them back to health through suggestions and pointers of how to make it through the day, sick or not. Celebrations by Amy Bacon will be there for you and your guests every step of the way, through sneezes, snuffles, smiles, and all. If all else fails, just think to yourself that everyone is catching the Love Bug that you and your fiancĂ© released into their lives! They can’t help but get love sick around the two of you so let them feel better and enjoy your special day.

This sweet flower girl and ring bearer were sick the morning of the wedding. With a little (OK a lot) TLC and a great deal of patience from their mother (MOB) they were better by the ceremony!

Do you need a Wedding Coordinator?

Are you ready to jump into wedding planning alone? Well, that's ok for some. We save our clients money with vendors, discounts, money saving tricks, etc. However, we understand that some people want to plan alone and we respect that. BUT what about the day of the wedding? Who's going to make sure your vision is executed? Your family? Your friends? Wouldn't it be better if they were with YOU?!

If you're getting married ask yourself these questions.

If the answer to ANY of them is YOU, the Groom, your family, or your bridal party then you need a Day-Of Coordinator! You work very hard for months, some of you years to plan this day. Not to mention the money you spend to make sure it's perfect. Allow Celebrations by Amy Bacon to help you enjoy your investment.

Does this bride and groom look they're worried about who's doing the ceremony
and reception set up?

WHO will create the timeline for the day/night?

WHO will greet every vendor? This is at the same time you will be getting ready and most likely be doing pre-ceremony photos.

WHO will handle problem family member or bridal party
members?

WHO tells the vendors where to place their delivery?

WHO will call the vendors if they do not arrive on time?

WHO will monitor the vendors to make sure everything is set up correctly?

WHO will make sure the cake cutting set and toasting flutes are set up correctly?

WHO will hand out the bouquets, pin the boutonnieres and/or corsages?

WHO will make sure the bridal party is ready and where they need to be for pre-ceremony photos?

WHO will make sure the ceremony is set up? The Unity Candle, Sand Ceremony, Wine Ceremony, Programs, Tissues, Bubbles, maps to the reception, chairs, sound equipment, etc.

WHO will make sure the reception tables are setup? This includes place cards, favors, menu cards, napkins, etc.?

WHO will set out the Guest Book, the Signature Frame, the Wishing Tree, candles, disposable cameras, etc.?

WHO will make sure the groom and his party are accounted for and dressed?

WHO will give the programs to the ushers, make sure the ushers are in place at the time the need to be, and help them if they have questions about seating?

WHO will make sure the parents know where they should be and what they should be doing before, during and after the ceremony?

WHO will monitor the flow of people to make sure you and your fiancĂ© don’t see each other before you’re ready to?

WHO will tell you the status of your guest’s arrival and let you know when everyone is ready to line up?

WHO will make sure everyone lines up as they should if they forget from the rehearsal?

WHO will have an emergency kit with eye lash glue, mints, fashion tape, aspirin, Tums, etc.?

WHO will cue the musician?

WHO will guide your bridal party as to where they should go after the recessional to sign the marriage licenses and prepare for formal photos?

WHO will hold the marriage license before the signing and after?

WHO will make sure your guests are moved to the cocktail hour or reception?

WHO will make sure a tray of appetizers is available for you and your fiancé when you get back from formal photos? Yes, you should eat before the Grand Entrance!

WHO will make sure your bridal party is lined up for the Grand Entrance?

WHO will the caterer or site manager check with to make sure you are still on schedule for dinner, toasts and cake cutting?

WHO will make sure that you and your new groom always have a drink in hand?

WHO will make sure your photographer eats at the same time you do so they can take photos when you are done eating and not stuck eating for two minutes before going back to work for another 4 hours?

WHO will make sure you stay on track for your time line and make decisions on your behalf if something goes off track?

WHO
will deal with issues that arise with the caterer, DJ or Bar Service?

WHO will help get a cab for someone who needs to be escorted out due to over drinking?

WHO will distribute sparklers, bubbles, rice bags, or rose petals for your Grand Exit?

WHO will make sure your personal items get boxed up safely and given to someone you assigned?

WHO will take home items that are left behind for you to pick up in the next couple days?

WHO will make sure that rented items are ready for pick up at the venue to avoid extra charges to you?

WHO will check you in to your hotel early so you do not have to do it at the end of the night?

WHO will return the tuxes the next day, or take your dress to the cleaners?  Or your dress and flowers in for preservation?

Most important
WHO will make sure you don't have to do anything but be a GUEST at your wedding?

Review from our 11.12.11 Wedding Candy Buffet

I am SO HAPPY that we found Amy. She is not only one of the sweetest people on the planet but she is also so good at what she does. She created such a beautiful candy buffet for our wedding. People continue to talk about it as one of the highlights of the day! When my hubby and I were done taking pictures Amy came up to us with ice water (how did she know we were DYING of thirst? ha). She also gave me a few pieces of delicious dark chocolates (my absolute fave) and made the hubby and I bags of candy so that we wouldn't miss out on anything. I cannot say enough wonderful things about our experience with Amy. She is so professional and passionate about her work and she really does just have a gift when it comes to making a wedding day extra special. I would recommend her to anyone and everyone. My hubby and I are sooooooooooo happy that we met Amy!
~Jess Schrader

I love candy and I was very happy that I was able to have candy at our wedding. Amy was really great. She was very helpful and her candy buffet looked awesome. All my friends are still talking about it!
~Dustin Schrader

I hope you've enjoyed looking at these images from this beautiful morning wedding. Jess and Dustin are such a sweet couple (pun intended). I feel so blessed to have met them via Facebook when I had a Candy Buffet contest. They didn't win but they absolutely fell in love with the idea of having a buffet and I was excited to be part of their special day. Their love for one another is the kind of love you could FEEL by just being around them.

Thank you Jess and Dustin for allowing Celebrations by Amy Bacon to share in your day of love and celebration!

Review from 11.11.11 Wedding

I must say that Amy is absolutely AMAZING!!! I was debating for a while on whether I should hire Amy or not and let me tell you I don't know how I would have gotten through my wedding in once piece without her! She took all of the stress away from my husband and I and made sure she took care of it all! She helped make all of my dreams come true! We didn't have the "traditional" wedding and Amy really understood that about us. We didn't want the formal sit down dinner, or the formal hello to everyone. We are a more casual couple and we really wanted that to shine the day of the wedding. If it wasn't for Amy helping us along to way I don't think that it would have gone as well as it did! We still had a lot of elegance and some traditional stuff but it was also very casual at the same time! Amy was my right hand man the entire month before the wedding! I didn't feel one ounce of stress but instead I felt relief that everything was taken care of and I 100% trusted her!

If you are questioning if you need to hire a planner for the month or day of the event I would say make sure to fit it in your budget! Amy will ensure that you have the time of your life! Why spend a ton of money on your wedding and something go wrong when you can spend a little extra money and she will make sure it absolutely perfect and you have no worries what so ever!

Amy also surprised us with an AMAZING surprise!!! That is just how awesome she is, she will make sure you have one of the best day's of your life!

Amy helped make our dream wedding come true and I couldn't thank her enough!! No words can express how much we adore, love and cherish everything that she has done for us! Thank you so much Amy!! You truly are the BEST!!!

Wedding Guests: 10 Ways to Ruin a Wedding

The worst things that wedding guests have actually done (and what you should do instead).

1- Speak Up During the Ceremony
We've heard the horror stories -- the "Are you sure?" from the minister, the "Don't do it man" groomsmen comment and the vocal grandmother using her time as reader at the pulpit to offer her humble opinion. Yikes.
Instead: If you have information on either the bride or groom that could be a relationship game changer, the ceremony is not the time to reveal it. Any reservations about the relationship should be brought up in private long before the ceremony.

2- Stick Your Finger in the Cake
Believe it or not, guests do this. There's nothing cute or okay about touching the piece de resistance of the reception menu. Besides the sanitary factor, wedding cakes are expensive and should only be handled by three people: the bride, the groom and the caterer.
Instead: It sounds ridiculous and should go without saying, but if you can't get close to a wedding cake without touching it, don't go near it.

3- Wear White
We don't care if it's the middle of summer and your little white sundress is the most flattering thing in your closet. Do not, we repeat, do not wear white to someone else's wedding. Most brides have been looking forward to their moment in the spotlight -- as the only one in white. While it's true no one could possibly upstage the bride, it's considered the ultimate guest dress no-no. The other color to avoid wearing at a wedding? Bright red.
Instead: Colorful tones like pinks, yellows and purples are all fair game. Just stay away from anything in the white and ivory color family.

4- Use the Wedding to Hook Up
Yes, it's true, a wedding is a great place to meet other singles -- there's a great venue, lighting, food, everyone is dressed to the nines -- but please refrain from using the reception like you would a club. In other words, no making out on the dance floor with the bride's cousin or the groom's brother. Do you really want to be that guest?
Instead: Hey, if sparks are really flying, feel free to ask for a number and make a date.

 5- Give a Roast Toast
Just because you have a microphone in your hand that doesn't give you free rein to tell the most outrageous college drinking story or reveal what happened in Vegas. It's also not the time to talk about old boyfriends or reveal the groom's most embarrassing habits.
Instead: Give your speech the grandma test. If it's not PG-rated and something you'd be comfortable telling her, it's not wedding reception toast material.

6- Drink Too Much
Your friend's wedding celebration is just that -- it's not a fraternity party. Know your limit and don't go over it. Making a fool of yourself in front of everyone, falling all over the place or leaving the party early because you couldn't handle your liquor isn't the way you want your best friend's new wife to remember you, is it?
Instead: Save the shots for the bachelor party.

7- Let the Kids Run Wild
You know the scene: the shrieking kids terrorizing the dance floor during dinner, the toddler tantrum during the toast, the loud baby screaming over the vows during the ceremony -- all potentially nightmare situations for the couple getting married, not to mention the other guests.
Instead: Confirm that there's child care available at the reception and make arrangements, or leave the kiddies at home for the evening.

8- Spill Anything on the Bride
That gorgeous white wedding dress more than likely cost the bride a couple thousand. And while she probably won't have another reason to wear it again, a drink spilled on the wedding dress still ranks as one of the worst mistakes a guest could make.
Instead: You can't be too careful holding a beverage near the bride. If you have a glass of red wine or Coke in your hand, put it down.
9- Hit on the Waitstaff
It might sound crass (because it is), but we've heard plenty of stories of rowdy guests corralling the waitstaff to dance with them. Not only is it completely inappropriate, it'll be really embarrassing when the catering manager pulls you aside to file a formal harassment complaint.
Instead: Uh, just don't?

10- Tell the DJ to Change the Music
At your wedding, you get to choose the music. Otherwise, the tunes aren't in your control. You could end up requesting a song that was on the couple's do-not-play list (like, say, one with unsettling sentimental feelings attached).
Instead: Unless the bride or groom expressly asks you to talk to the band or DJ about a song request, keep your song suggestions to yourself.

Seven Tips for Planning a Wedding on Pinterest

7 Tips for Planning a Wedding on Pinterest

If you’re planning a wedding and knee-deep in collecting ideas for the perfect dress, hairstyle and invitations, there’s a good chance you’re already familiar with Pinterest.
The two-year-old social bookmarking site — which allows users to collect and share things they like on the Internet — is becoming a hotbed for the wedding industry. Not only are Pinterest users adding images to their virtual pinboards for inspiration to help plan their big day, but some are collecting ideas for the future and aren’t even engaged.
Either way, Pinterest is an easy way to make planning a wedding more manageable. It’s like ripping the pages out of wedding magazines and taping them to your bulletin board — but digitally. Even better, each picture is typically linked to a site where you can buy the styles you want, learn DIY crafting tips and become informed about the latest trends. Friends and other Pinterest followers can also leave comments and feedback to make the whole planning process more interactive.

If you need help with planning or day-of please call Celebrations by Amy Bacon for a free consultation.
